BOLD SUMMERS POLICIES

The following terms and conditions pertain to all programs run by BOLD Summers. The terms and conditions supersede any other terms and conditions previously published by BOLD Summers. Both the parent/guardian and student are responsible for being familiar with the terms and conditions. In addition to BOLD Summer’s terms and conditions, students and families must abide by the campus locations’ policies.

RULES AND POLICIES AT THE PROGRAM

Your child must abide by each of the following rules and policies (“Rules & Policies”), whether the student is on or off-campus. Bold Summers reserves the right to enforce all aspects of the Rules & Policies.  In the event of even a single violation, Bold Summers reserves the right to take disciplinary action, including but not limited to a warning, consultation with you, or cases of serious or repeated incidences, exclusion, or dismissal from the Program.   

Most residential Programs begin on a Sunday and end on a Friday. Early arrival on Saturday may be available for purchase. Please review your welcome packet for exact arrival times, locations, and special instructions.

If you would like a BOLD Summers staff member to assist with your Philadelphia International Airport (PHL) arrival or departure (rather than you having to arrange for a third party, such as a taxi service, to pick up or drop off your child), you may add pick-up or drop-off service to your account. Pick-ups and drop-offs are $75 each way ($150 round trip).

All requests for visitation or leave (e.g., weekend travel apart from the Program) must be submitted in advance, in writing, by a parent/guardian to a Program director. Any such request may be rejected when a student is busy with classes, classwork, or activities, including off-campus trips. Weekend travel apart from the program is highly discouraged, given its potential impact on the traveling student, his or her friends, and fellow students.

All students must have a working cell phone with a U.S. data plan. BOLD Summers staff need to be able to communicate with all students at any time while in the program. Before check-in, please download WhatsApp from the app store. The students will be added to specific WhatsApp groups during their first night floor meeting.

  • Treat fellow participants, staff (including instructors), campus neighbors, and affiliates respectfully and courteously.   
  • Behave in ways that do not expose oneself or others to injury or endangerment and that do not diminish in any other way the experience of others.  
  • Respect the campus and other physical surroundings, including equipment, furnishings, and facilities. Participants must report to the program director any damage that they have caused to this property or a property located off-campus. Students may be charged restitution to repair the damage. 
  • Refrain from the use of profane, obscene, derogatory, abusive, or threatening language. 
  • Refrain from the use, purchase, or possession of, or any other involvement with, alcohol, illegal drugs (including marijuana in any form, such as leaves, pills, oils, topical ointments, tinctures, liquids, or edibles), drug paraphernalia (including vaporizers), or tobacco products (including e-cigarettes). Bold Summers/Jr. 76ers Camps/ESF will have sole and complete discretion in identifying and determining “use,” “purchase,” “possession,” and “involvement.”   
  • Refrain from the use, purchase, or possession of weapons (including firearms and knives),  ammunition, explosives, fireworks, open flames, candles (including tea lights), torchiere halogen lamps, heating appliances (including space heaters, stoves, and hot plates), air conditioners (unless medically authorized), pornography, drones, hoverboards, electric scooters, refrigerators (in excess of 3.4 cubic feet or 1.5 amps), or any other item that exposes oneself or others to injury or unreasonable discomfort. Bold Summers/Jr. 76ers Camps/ESF will have sole and complete discretion in identifying and determining “use,” “purchase,” “possession,” “injury,” and “unreasonable discomfort.”   
  • Participants believe in healthy relationships. Healthy relationships are honest, trustworthy, and respectful. Healthy relationships have consent freely given, reversible, and require an agreement to engage in acceptable “intimate activity.” Acceptable “intimate contact” at a BOLD Summers program includes hand holding, hugging, and kissing accompanied by verbal consent at the time of action. Any other forms of “intimate contact” or “sexual activity” are not allowed at BOLD Summers programs.  
  • Participants may not bring animals onto campus (Bold Summers/Jr. 76ers Camps/ESF may approve, in writing, certain requests for the possession of service or emotional support animals in accordance with the Americans with Disabilities Act and Fair Housing Act).  
  • Abide by curfew and quiet-hours requirements.  
  • Residence halls are gender specific, either by building or by floor. Participants are not allowed to visit any section of a residence hall containing participants of a different gender. Participants are encouraged to utilize the lounges and common areas throughout the residence hall to gather and avoid visiting other participants’ rooms. Exceptions may be made by Program staff, and in those cases, program staff supervision will be required.  
  • Participants must be present from the first day to the last day of the Program. In rare cases, there may be valid reasons for a child to arrive late, depart early, or leave the Program for a period. Permission for such arrangements may only be considered by the Program Director after submitting a written request from the parent/guardian.    
  • Participants may not leave the campus except when accompanied by a member of the Bold Summers staff or when both of the following conditions are present:  
  • the participant is accompanied by a team member or a person whom you authorize who is at least 18 years of age and  
  • the individual with whom a participant leaves campus is prepared to present verifiable, official identification. 
  • Participants must remain within the approved campus boundaries and, when walking from one location to another within those boundaries, may only do so if all of the following conditions are met:  
  • the commute takes place during approved times,  
  • the student is part of a group of three or more participants (students may never walk alone),  
  • at least one student in the group is available via mobile phone at all times and  
  • all participants in the group must sign out through the residential director’s office. 
  • all participants sign back into the residence halls in the residential directors office 
  • While attending a Program, participants may not drive a motor vehicle.  
  • Campus security is paramount. Participants must report any missing key or identification card to a Program director immediately after discovering that the item is missing. Associated replacement fees will be billed to the family’s online account. 
  • Participants are fully responsible for their own personal belongings (including sports equipment, laptops, passports, cash/money and phones). They will not hold Bold Summers responsible for any related loss or damage due to theft, damage, or the student/student’s negligence.   
  • With respect to a student’s use of technology, the internet, or host networks, whether before or during a Program, conduct that is inappropriate or harmful, whether to Bold Summers Institutions, other participants, staff, or instructors, is prohibited. Such conduct includes, but is not limited to, jeopardizing another’s safety or privacy; downloading, displaying, or sending illegal, obscene, or offensive files or messages; harassment, bullying, or other attacks; use of another person’s password; unauthorized use or access of another person’s work or files; and the use or access of a computer or network for commercial purposes.  
  • Unless Bold Summers/Jr makes an exception. 76ers Camps/ESF, use of cell phones, laptops, tablets, or other electronic devices (including but not limited to devices used for music, reading, or gaming) will not be permitted during class or planned activities.   
  • Entrance to and exit from campus and buildings may only be made through approved entrances and exits.  
  • During certain Programs, participants may have free time, some of which will be unsupervised and independent. During these periods, participants must abide by the Terms & Conditions, respect all Program rules and behavioral guidelines, and exercise caution and good judgment to ensure their well-being.   
  • Bold Summers/Host Institutions may establish additional rules and policies.   
  • As referenced above, all participants must obey all local, state, and federal laws.  

BOLD Summers and our Host/Partner Institutions retain the right to use any works, projects, photographs, videos, audio recordings, social media, online comments, websites, or technologies, whether created by BOLD Summers, the Host/Partner Institution, or your child, that show, concern, were created by, or contain contributions from, your child or your child’s activities (where such activities could be on campus or off, and related to the Program or not) in any media, for any purpose including but not limited to advertising, marketing, promotion, social media, and sales, without any notice or compensation to you or your child, now and in the future.

Program activities, including courses, field trips, evening activities, and weekend activities, may occur at a location other than the host institution. You give BOLD Summers permission to take your student off campus for program activities.

Residential students may be issued one or more of the following: lock combination, room key, building key, campus key card, or identification card. At the student’s checkout, the student must turn in all issued keys and identification cards. You are responsible for the cost of all lost or not returned items, which could be as high as $350 per item. BOLD Summers will not accept keys and cards that are returned after checkout is completed.

Students are instructed not to leave dorm rooms open when the students are not present. Students are responsible for locking the door to their room each time they depart.

Upon learning of any damage caused by your student to a campus facility, a Residential or Program director will report the damage to the campus, at this point, a determination will be made as to the estimated repair cost. You will then be responsible for prompt payment of that amount.

BOLD Summers reserves the right to enter, inspect, and search any room and all contents of any room at any time without prior permission from, or additional notice to, any student or parent/guardian. Whether BOLD Summers decides to enter, inspect, or search a room will be determined at BOLD Summer’s sole discretion. Campus police may accompany BOLD Summers to ensure the safety or welfare of others entering or occupying the room. Circumstances that may result in BOLD Summers entering, inspecting, or searching a room or its contents include, but are not limited to: suspicion that an emergency exists; suspicion of a violation of these Terms & Conditions, including but not limited to the presence of illegal substances or contraband; to determine the well-being of an occupant; to locate persons or property; to complete fire-safety inspections; to facilitate maintenance; or to ensure that safe and sanitary conditions exist. BOLD Summers may inspect and search a room as often as BOLD Summers deems necessary to ensure that safe, sanitary, and otherwise compliant conditions are being maintained. Students who persist in maintaining unsafe or unsanitary conditions after being warned may be subject to dismissal from the Program without a refund.

Illegal or prohibited items discovered during these inspections will be confiscated, not returned, and turned over to campus officials or police when appropriate.

Students may not install or modify locks, combinations, latches, or other devices that may impede room access.

The use of technology and access to internet is a privilege that is attended by significant responsibility; BOLD Summer’s high standards for kindness and respect apply equally whether in electronic form or in person. The public nature and widespread use of social media has heightened the need for students to be cautious about any electronic posting.

Expectations of privacy are frequently compromised, and intent of communication is easily altered or misinterpreted. For these reasons, students should expect that anything they post may become public and should know that BOLD Summers will act strongly if any acts of misrepresentation, harassment, hazing, or bullying come to the attention a member of the program (student, faculty, staff).

ADMISSIONS

Before applying to any program, you and your student are responsible for evaluating your student’s interests and credentials to determine their suitability for the selected program. Further, you assure that you and your student have each determined that your student meets all minimum admission standards for the selected program and that your student is prepared for the selected program’s emotional, social, intellectual, linguistic, and physical aspects. Students may apply to more than one program.

BOLD Summers and any related admissions committees reserve the right to reject, at their sole respective or collective discretion, an applicant upon receipt of a student’s complete application. Further, BOLD Summers reserves the right to reconsider any student’s candidacy for a program, even after the student is accepted, based on any incident or behavior that takes place or is discovered by BOLD Summers after a student’s application is completed in that event, where BOLD Summers determines in its sole discretion that a student is not suitable for a program, BOLD Summers reserves the right to reject, exclude, and or dismiss that student from the program.

BOLD Summers does not discriminate on any basis, including race, gender, sexual orientation, religion, nationality, ethnicity, or disability.

PROGRAM FEES AND REGISTRATION

The total cost of attending a program is called the “Session Fee.” Unless otherwise specified, the Session Fee covers tuition, instruction, program materials, on-campus meals, and evening activities. The Session Fee is non-refundable unless Cancellation Insurance has been purchased.

BOLD Summers requires that a portion of the Session Fee be paid within 72 hours of acceptance (the “deposit”). The deposit is required to reserve a space for your student in the program. Once registration and the deposit are received, the student is considered confirmed, and you are responsible for the remainder of the Session Fee. If you designate another individual to pay money on your student’s behalf, it is your responsibility to ensure that all billing information is forwarded to the designee and that payments are submitted on time and in full.

Payments are accepted via personal check, wire transfer, and credit card.

CANCELLATION AND TUITION INSURANCE

The application fee must accompany the application for acceptance, is non-refundable, and does not apply to tuition.

If BOLD Summers cancels the program:

  • The application fee is non-refundable
  • 100% of program tuition paid will be refunded

If you cancel the student’s participation in the program:

  • Program tuition paid, including the deposit, is non-refundable.

Programs and classes may have required a minimum number of participants. BOLD Summers reserves the right to cancel a program or class due to insufficient enrollment or other reasons. In the unlikely event that a Program is canceled before the start date, BOLD Summers will either (i) attempt to offer (though cannot guarantee) placement in an alternate Program or (ii) refund all payments received and have no further liability to the participant. If a Program or class is canceled following the Program’s start date, BOLD Summers will make reasonable efforts to offer alternative arrangements for students to complete a Program.

HEALTH AND PERSONAL SAFETY

By registering for a program, you agree to complete your student’s health forms fully, accurately, and on time as specified by the system.

Each residential student, upon acceptance to a program, must submit a complete and accurate 1) health information form (which includes emergency contact information, basic health information, allergies, medications, etc), 2) health examination form within 18 months of your start date, 3) set of immunization records, and 4) waiver with proof of student’s valid and current health insurance or traveler’s insurance policy.

If by the start date of a program, a student’s health forms are either incomplete or fail to disclose any medical (including psychiatric) condition, then that student is subject to exclusion or removal from the program at BOLD Summers’s sole discretion and with no available refund. By registering a student, you assure BOLD Summers that the health history provided is, or by the program’s start date will be, correct, so far as you know, and that your student has permission to engage in all prescribed program activities except as noted.

When completing the health information form, you must list all medications (including over the counter or nonprescription drugs) routinely taken. Any medications brought onto campus must contain the original package or bottle that identifies the prescribing physician (if a prescription drug), the name of the medication, the dosage, and the frequency of administration. Prescription medications not listed on the BOLD Summers medical form may not be allowed on campus. Upon written request of a parent, BOLD Summers nursing staff may issue reminders to students to take their medications; however, only the students themselves are permitted to administer their own medications. Students are prohibited from providing their medication to any other student or staff member and are prohibited from accepting or taking medications from any other student or staff member. A student with a prescription for medication that is otherwise prohibited by this policy must submit a separate Prescription Medication Waiver Form that BOLD Summers and the host institution will evaluate to determine whether the student’s potential possession and use of that medication during the Program is safe given the requirements of, and other participants in, the Program. If possession and use are permitted, it may be regulated and supervised by Program staff.

You authorize, including but not necessarily during an emergency during which you and/or your child’s emergency contacts are not reached, (i) BOLD Summers to administer therapeutic or appropriate dosages of over-the-counter medications (acetaminophen, ibuprofen, bismuth subsalicylate, diphenhydramine, etc.) to your child as deemed appropriate by the BOLD Summers nursing staff; (ii) BOLD Summers, at its sole discretion, to place your child at your expense and without any further consent or advance notice in a hospital for medical services, or if no hospital is readily available, to place your child in the care of a licensed medical doctor for treatment, including at facilities that are unaffiliated with, and not located near, the host facility; and (iii) physicians and nurses selected by BOLD Summers to treat your child. In the event of any harm to your child due to or during any of the processes described earlier in this paragraph, and assuming no recklessness on BOLD Summer’s behalf, you agree not to hold BOLD Summers liable in any way.

You should be familiar with your child’s health or traveler’s insurance policy and understand the procedures for filing a claim. Payment for medical costs, including those related to a visit to a medical provider (in-patient or out-patient) or the purchase of medication, may be required at the time of service or billed to you later. Please respect our relationships with our healthcare providers by paying these bills as required.

TERMS AND CONDITIONS

BOLD Summers does not own or operate every entity that provides goods or services for your student’s program. For example, third parties provide goods and services related to campus and lodging facilities, transportation, and on-campus and off-campus dining and catering. As a result, BOLD Summers accepts no liability and is not responsible for any negligent or willful act, or failure to act, of any such entity, or of any other third party not under our direct control.

BOLD Summers is obligated to observe and follow all local, state, and federal guidelines, including those that mandate the reporting of child abuse. We reserve the right to follow these guidelines even if it means notifying the appropriate authorities before notifying you.

Any and all disputes concerning BOLD Summers, including but not limited to disputes concerning (i) a student’s involvement with BOLD Summers or a Program or (ii) BOLD Summers literature, communication, or representations, shall be resolved solely by binding arbitration in Delaware County, Pennsylvania in accordance with the then existent commercial rules of the American Arbitration Association. In any such arbitration, the substantive and procedural laws of the Commonwealth of Pennsylvania shall apply.

BOLD Summers accepts no responsibility and is not liable for any risk, delay, cancellation, inconvenience, damage, injury, or death that results from an event beyond the reasonable control of BOLD Summers (a “force majeure event”). Force majeure events shall be defined to include, but not be limited to, acts of government, criminal or terrorist activity, war, acts of God (such as disease outbreak or natural disaster), strikes, political or civil unrest, and structural or other defective conditions on campus or off.
